About Us
The Hungarian Wirehaired Vizsla Association (HWVA) (https://hwva.org.uk) – otherwise known as the Association – is the Data Controller for the General Data Protection Regulation (GDPR).
The Association’s purpose is to:
- Encourage high standards of breeding in accordance with the Kennel Club Standard, for health, conformation and working ability.
- Help form and foster friendship amongst people with a common interest.
- Conduct working events and breed shows.
- Be run for the benefit and further education of its members.
- Encourage sportsmanlike behaviour.
- Support research and educational work that may promote the future health of the breed.

What is the Purpose of this Document?
The HWVA is committed to protecting the privacy and security of your personal information. This privacy notice describes how we collect and use personal information about you during and after your relationship with us, in accordance with the General Data Protection Regulation (GDPR) which came into effect on 25th May 2018. It applies to all Members, Officers, Contractors and with the public, if applicable.
We may update this statement at any time. Please check back regularly to see any updates or changes.
It is important that you read this statement so that you are aware of your responsibilities as a member of the HWVA and so that you are aware of how and why we are using your information.
Data Protection Principles
We will comply with Data Protection law. This says that the personal information we hold about you must be given explicitly and:
- Used lawfully, fairly and in a transparent way.
- Collected only for valid purposes that we have clearly explained to you and not used in any way that is incompatible with those purposes.
- Relevant to the purposes we have told you about and limited only to those purposes.
- Accurate and kept up to date.
- Kept only for as long as necessary for the purposes we have told you about.
- Kept securely
- Kept confidentially.
The Personal Information We Collect and Use
Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data). We will not sell your information to another organisation.
Data we collect, and use, is to enable us to carry out our obligations as a membership association and for legitimate reasons for example:
- Assess your suitability for membership and the processing of a membership application
- Allow us to contact you regarding any issues connected with your membership
- Allow us to contact you regarding any matters relating to your bookings or enquiries about events and shows.
Your rights as a data subject
The General Data Protection Regulation provides the following rights (subject to some exemptions):
- The right to request access to the personal data that we hold about you;
- The right to request rectification of the personal data that we hold about you;
- The right to request erasure of the personal data that we hold about you;
- The right to request restriction of processing about you;
- The right to object to processing; and
- The right to data portability.

How we will use information about you
Data we collect, and use, is to enable us to carry out our obligations as a membership association and for legitimate reasons for example:
- Where we need to perform the contract we have entered into with you by providing you with membership services (administration and communications relating to membership), upholding the Association’s rules and code of ethics and complying with Kennel Club rules and regulations.
- Where we need to comply with a legal obligation. There are certain circumstances where we are obliged to release information to statutory bodies or law enforcement agencies under a Notice which explains why the data is required and what purpose it will be used for. We are not obliged to inform you that we have shared your data under these circumstances.
- Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests, for example in situations where you would reasonably expect us to use your personal information such as sending you details of the Association’s upcoming events, newsletters and meetings.
- Allow us to contact you in regard to Gift Aid, if applicable
- From time to time we may also contact you about canine health surveys, or use your data to assist with queries or to uphold our Association constitution.
- We may also use your personal information in the following situations, which are likely to be rare:
- Where we need to protect your interests (or someone else’s interests).
- Where it is needed in the public interest or for official purposes.
The Hungarian Wirehaired Vizsla Association will not use your personal information for marketing purposes. We will not share your details with any third party for marketing purposes.

Recipients of Data
We may use third parties to help us provide you with our services. Third parties will only use your personal data for the agreed purpose. Third parties will keep your data confidential, will not sell your personal data and will not disclose it except as required by law, as permitted by the Association or as stated in this Privacy Statement
Examples of third parties that we may share your personal data with are as follows:
- Kennel Club records: The Kennel Club will hold the personal data of officers of the Association as a part of the implementation of Kennel Club Rules and Regulations.
- We provide the Kennel Club with details of the Association’s officers and Challenge Certificate winners at our events in order to meet requirements in the Kennel Club Rules and Regulations.
- We provide show entrants’ data to our printing company (Higham Press Ltd) for inclusion in the show catalogue. Their privacy policy can be viewed on their website at http://www.highampress.co.uk/privacy.asp
- We provide appropriate information regarding judges (contact details/breed assessment/status) to the relevant Breed Education Co-ordinator in order for them to fulfil their role in overseeing the breed’s programme for educating its judges under the JCF.
- We provide external trainers at our working training days with details of you and your dog, your stage of training and ability so that you can get the most from our training days. We provide the Kennel Club with details of the dogs and handlers who have been graded at our working events.
Exhibitors/Competitors
We process your personal data (held in accordance with the Association’s Retention Policy), to include name, address, email address, telephone number and dog information, for the following reasons:
- Administration of the event and any communications relating to it
- Provision of services relating to the event
- Upholding the Association’s rules
- Complying with the Kennel Club rules and regulations
- Sending you information relating to future events
- Publishing your name, address and dog information in show/event catalogues (subject to the right to object)
- Publishing event results on our website and Facebook page
Judges
We process your personal data (held in accordance with the Association’s retention policy), to include your name, address, email address and telephone number, for the following reasons:
- Administration and communications relating to judging appointments
- Upholding the Association’s rules
- Complying with the Kennel Club rules and regulations which includes sharing relevant information
- Publication in the Association’s judges list, and appointments in show schedules
- Providing appropriate information (contact details/breed assessment/status) to the Breed Education Co-ordinator in order for them to carry out their role in overseeing the breed’s programme for educating its judges under the JCF
Data Retention
Personal data will be retained in accordance with statutory requirements, Kennel Club requirements and recommendations.
